Create a "when X happens, do Y" rule step by step in the visual builder.

This guide walks through creating an automation in the visual builder — for example, notifying your team whenever an item drops to its reorder point.

Create the automation

  1. Go to Settings → Automations and click New automation.
  2. Give it a clear name so others know what it does.
  3. Choose a trigger — the event that starts the rule, such as Stock falls below reorder point.
  4. Add any conditions to narrow when it runs, such as location is Main Warehouse.
  5. Add one or more actions, such as Send a notification to the purchasing team.
  6. Activate the automation.

Test before you rely on it

Trigger the event manually — or wait for a real one — and confirm the action runs. Check the automation’s run history to see each time it fired and whether it succeeded.

Start with the automation inactive while you build it, then activate once the trigger, conditions, and actions all look right.

Edit or pause later

You can change any step at any time, or toggle the automation off without deleting it. A paused automation keeps its configuration but stops responding to events.

Avoid rules that trigger themselves in a loop — for example, an action that updates a field which is also the trigger. Fiddle guards against runaway loops, but it’s best to design them out.
