Receive stock against a purchase order
Record full or partial deliveries so incoming stock becomes on-hand.
Receiving converts a PO’s incoming quantities into on-hand stock at your delivery location.
Receive a delivery
- Open the issued PO under Suppliers → Purchase Orders (or use Receive items).
- Click Receive.
- For each line, enter the quantity received. It defaults to the outstanding amount, but you can receive less for a partial delivery.
- If an item is lot- or serial-tracked, enter the lot/serial and any expiry date.
- Confirm to post the receipt.
Receive into the same location the goods physically arrived at. Receiving into the wrong location is the most common cause of “I have stock but can’t find it” issues.
Partial deliveries
If only part of the order arrives, receive what came in. The PO moves to partially received and keeps the remaining quantity as incoming. Receive the rest when it arrives.
After receiving
- On-hand stock increases immediately and is available to sell or use.
- The receiving log records who received what and when.
- If your accounting integration is connected, the bill can sync automatically.
Received the wrong quantity? Open the receipt from the PO’s history to correct it rather than making a manual stock adjustment — that keeps the PO and stock in sync.
